Managing customers and vehicles

The Autowork Online workshop management system makes managing customers and their vehicles simple, quick, and easy.

A vehicle’s registration number can be looked up on an online database, providing critical information on it. This is automatically added to the listing within the system, and can be edited manually as required.

Customers can easily be added to the database. There is a post code lookup feature, making address entry simple, and quick.

Vehicles can also be tied to a particular customer account, meaning that the vehicle’s registration number can be used to return the linked customer account.

Today we’re going to be looking at how to set up a new reg and customer in the Autowork Online system.

Firstly, enter the VRM lookup into the registration box. Because the vehicle does not exist on this system, it will try to link it to the cash customer.

If you click customer, and then new you will be manually able to enter a customer’s details. Firstly, enter the customer’s surname followed by their forename. An address can then be entered using a postcode lookup.

The customer’s contact details can also be set in various places, including several phone numbers, and fax number and an email address. The primary phone number can be set by selecting the radio button next to it. Once you are happy with your settings, click save. You’ll get a prompt asking if you would like to link the reg entered to that customer’s account. If you click OK, a customer account number will automatically be generated based on the customer’s surname, and the vehicle will be automatically tied to it.

If you’d like to look at some of the details for the vehicle, click the vehicle tab and then edit. The vehicle information screen hold various pieces of data on the vehicle. Most of it is updated automatically from the VRM lookup, but some of it has to be entered manually. There’s also options to set reminders for various things such as the MOT and Service dates.
